Jaws Auto Locksmith Privacy Policy

Last updated: 19th October 2026

1. WHO WE ARE
Jaws Auto Locks is responsible for your personal information (the “data controller”).
Contact: William Robertson, 07438 242751, [email protected]

2. WHAT INFORMATION WE COLLECT
When you get a quote or book a job, or when we carry out a job for you, we collect and use:
– Your name, phone number, email address and the location of the vehicle.
– The vehicle registration number and details we look up for it (make, model, colour, year, fuel type and information about its MOT and tax status).
– The type of job you asked for, the price, the appointment time and the job’s progress.
– Payment information: details that confirm a payment was made. Card numbers are handled by our payment provider, Stripe, and are not stored by us.
– Proof of right to access: a record of which type of document we checked, any notes we made, the date and time of the check, and a photo of the document we relied on. This can show your name, address and other details written on it, for example on a V5C or photo ID.
– A vehicle risk check: for some jobs, particularly where all keys have been lost, we check the registration with a vehicle data provider to see whether it carries any flags, for example a reported mileage anomaly, a colour change or being marked for export. This helps us decide whether to ask for further proof.
– Messages and emails between us, including confirmation emails and WhatsApp messages about your job.
– Basic technical information when you use our website, such as your IP address and browser type [and cookies, see section 9].

3. WHY WE USE IT, AND OUR LEGAL BASIS
– To give you a quote, book your job and carry it out: because we need it to carry out the contract with you.
– To take payment and issue invoices and receipts: contract, and our legal obligation to keep accounting records.
– To confirm you are entitled to have a vehicle worked on, and to keep a record that we did: our legitimate interests in preventing vehicle theft and fraud, protecting vehicle owners, and showing we acted properly. We have considered that these interests are balanced against your rights, and we keep the photo only as long as set out below.
– To contact you about your job, such as to confirm your booking and send an arrival estimate: contract.
– To deal with complaints, claims or disputes: our legitimate interests, and legal obligations.
– To share information with the police or other authorities where the law requires or allows: legal obligation or legitimate interests.

We do not use your information for marketing unless you have separately agreed to it. We do not make decisions about you using fully automated processing. A vehicle risk flag is information that a person at Jaws Auto Locks considers; it does not decide anything automatically.

4. WHO WE SHARE IT WITH
We use trusted companies to help run our service. They only use your information to provide their service to us:
– Stripe: card payments.
– Xero: invoicing and accounting.
– Brevo: sending emails such as confirmations.
– A vehicle data provider: we send the registration number to look up the vehicle details and risk indicators. We do not send your name or contact details.
– Meta (WhatsApp): if we contact you by WhatsApp, the message and your phone number are handled by WhatsApp.
– Our website and technology providers, who host or protect our website and systems. Our booking records are held on our own secure server.
We may also share information with the police, courts or other authorities where we are legally required to, or where it is needed to prevent or detect a crime.
We do not sell your information.

Some of these providers are based outside the UK. Where they are, we rely on safeguards the law recognises, such as approved contract terms or an adequacy decision, so your information stays protected.

5. HOW LONG WE KEEP IT
– Proof of right to access photo: 12 months after the job, then deleted.
– Record that a check was done (type of document, notes, date): kept with the job record.
– Job, invoice and payment records: 6 years, which is the period we need to keep accounting records.
– Quotes that did not turn into a booking: [number] months.
– Messages and emails about your job: for as long as we keep the job record.
We delete or anonymise information when we no longer need it.

6. HOW WE KEEP IT SAFE
Your information is stored on a secured server that we control. Access is protected with passwords and encrypted connections, and only we can see proof-of-access photos. No system is completely secure, but we take reasonable steps to protect your information.

7. YOUR RIGHTS
You have the right to:
– ask for a copy of the information we hold about you;
– ask us to correct anything that is wrong;
– ask us to delete your information (we may have to keep some of it, for example for accounting);
– ask us to restrict how we use it;
– object to our use of it where we rely on legitimate interests;
– ask for it in a portable format where it applies.
To use any of these, contact us on 07438 242751 or [email protected]. We will reply within one month.

8. COMPLAINTS
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk, telephone 0303 123 1113.

9. COOKIES
We only use essential cookies on this site as it is a simple booking service.
